Automation can save a busy seller hours every week. Used badly, it makes your business feel like a robot that doesn't listen. The difference is knowing what to automate and what to keep human.
Safe to automate
- Greetings and away messages: "Thanks for reaching out! We reply between 9am and 6pm."
- Frequently asked questions: location, hours, delivery areas, payment methods
- Order confirmations and basic status updates
- Reminders: appointment confirmations, payment due notices
Keep human
- Complaints and sensitive issues
- Custom quotes and negotiations
- Anything involving money disputes, refunds or health/safety
- Customers who sound confused, frustrated or upset
Build a handoff rule
Every automated flow needs a clear exit: a keyword or option like "Type 1 to speak with a person", plus a promise of when a human will respond — and then actually keep it.
Respect your customers
Only message people who contacted you or agreed to hear from you. Don't mass-message strangers; it harms your reputation and can get your account restricted.
Document your changes
Keep a simple log of every automation you set up: what it says, when it triggers, and who approved it. If something goes wrong, you can trace and fix it quickly.
Start small
Automate one thing this week. Watch how customers respond. Adjust. Then add the next.
The WhatsApp Mobile Sales Playbook includes safe auto-reply rules, a script approval sheet and an automation change log, so you automate responsibly from day one.
